Follow these steps to add an E-mail Account source to AutoFocus:
- Start the Add New Source wizard by pressing CTRL-N, selecting Add New... from the Sources menu or by pressing the Add New Source button in the Source panel's toolbar.
- Select "E-mail account" and press Next.
- Enter the credentials of your E-mail account, e.g. "mail.my-isp.com" with your username and password.
Mark the checkbox if you want or need a secure connection to the mail server. This is recommended as without a secure connection your password will be sent as plain text over the Internet.
Press Next to continue.
- In the next step AutoFocus will contact your mail server to retrieve the mail folder tree. When you have selected a secure connection and the server uses a certificate that cannot be validated automatically, an intermediate dialog appears that asks you whether the certificate should be accepted. See the section on [secure connections] for more information on this dialog.
When no security dialog appears or when you accept the certificate, AutoFocus will eventually show the folder tree of your mail account. You can now check all folders that you want to make searchable. Note that subfolders that you want to make searchable need to be explicitly checked as such, else they are ignored.
The wizard sheet has two convenience buttons for selecting and deselecting all checkboxes at once.
Press Next to continue.
- Specify the maximum size that mails or attachments may have. Any resources larger than this size are ignored. By default this is set to "Unlimited", meaning that all resources are accepted.
The use of this limit is twofold. First, it can be used to prevent retrieval of very large resources that take a long time to download. Whether or not this is useful depends on how thoroughly you want to search your mailbox. Note that only resources from which AutoFocus can extract useful info (particularly textual documents) are fully downloaded.
Second, this limit can be used to workaround problems involving processing of very large attachments. Especially very large PDF files (in the order of tens of megabytes) can make AutoFocus freeze during indexing.
Note that this limit is cumulative: the size of a mail is equal to the size of its body plus the size of all its attachments. If a mail has a small body but a very large attachment, the size of the attachment can result in the entire mail being skipped.
Press Next to continue.
- Next you are requested to enter a name for the source. The name will be shown in the list of Sources as well as long search results, etc.
Press Next to continue.
- Finally you see a screen telling you that you have successfully defined a new source. You may optionally start scanning the source. This is needed in order to be able to search and explore the mails and attachments in this source. As an active scanning process blocks the entire user interface, you may also decide to switch this off (e.g. to define more new sources) and scan the sources later by hitting the Refresh button.
Once you click the Next button, the source will become visible in the list in the Sources Panel and the scanning process may start, depending on the choice you have made.
Note that at any time except for the last step, you can press the Cancel button. No source will be added then.
